Combine Requests for Information to our Customers: i.e. Return Census and Tax Forms Together

The same information is often requested from multiple agencies (name, address, dependents, and income). Where possible combine forms across agencies to consolidate the requests we make of our customers.
Immediate benefits will include:

• Consolidate requests to our customers
(in 2010 we submitted our tax and census requests within weeks of each other)
• Reduce duplicate envelope cost, a more “green” approach
•... more »

Train Locally – Use Existing FEB Training in 28 Locations Across U.S.

Large cost savings could be gained if federal leaders were encouraged to train their employees in the cities they work. Approximately 88% of the Federal Workforce is located outside of Washington D.C.

This is better for the environment and will save the federal government in travel and per diem costs.

Federal training already exists in 28 large cities through the Federal Executive Boards (www.Feb.Gov). FEB sponsored... more »

Do away with Use It or Lose It Buget Practices!

Do away with the use it or lose it budget practices. So much waste occurs at every level when groups purchase unecessary equipment & services for fear that if they don't use all their budget this year they won't be able to request the same or more the following years. How about something like a 401K where if the group comes in 5% under their budget for the year they earn a match that gets banked so when the money for... more »

Kill Zero Based Budget

Stop the pratice of ZERO based budgeting. As the end of each fiscal year approaches, there is a mad dash to spend down the remaining budget. This is done for the sake of spending in a crazy effort to protect next years budget allotment. Figure out a new way of budgenting that will elminate the end of year spend-a-thon. There is the immediate waste of money but there are also unintended consequences. When you buy durable... more »

Cut down on paper waste and recycling

I have only been employed with the VA Healthcare system for about 4 months. The amount of paper used is absolutely ridiculous. Paitients are given a medication reconcilliation form at each appointment check-in; 3 appointments in one day 3 medication reconcilliation forms. These can be as many as 5 pages. This translates into reams per day. Then there are the doctors who update the progress notes in the automated... more »

Stop the "If you don't use it, you lose it" policy !

This policy, official or implied, exacerbates wasteful spending in pretty much every agency and every department. The policy creates inefficiencies because it promotes a wasteful environment, by creating 'fear' that if a budget is not fully exhausted by the end of a fiscal year, that budget line item will be reduced for next year. While many departments try to save money throughout the year, they then go on a spending... more »

DOD savings

1. Mandate double sided printing through out DOD and governmental agencies.

2. Eliminate the DOD contracted lawn services for bases that were able to cut lawns themselves prior to the "War on Terrorism."

3. Mandate first term enlisted/officer personnel may not get married until after service of first contract, thereby lowering personnel expenditures of basic allowance for housing (BAH) DOD wide.

4. Temporary assignment... more »

Official Travel

After a recent stint at one of the FLETC, it became blatantly obvious exactly how much in government funds is wasted via the government's contracts with travel agencies such as Sato/GetThere. An attempt to book a flight from New York to Charleston, which included a layover in Georgia, netted the contracted travel agency $1299+ taxes/fees, while a direct flight could have been booked through the airline's website at $180+... more »

CREATE AN INTERFACE BETWEEN HSPD (COMPUTER SIGN-IN) AND WEBTA

Suggestion: Create an interface between WEBTA and HSPV that automatically tracks when a person a person is logged into their system and approved leave slips.

How it would work:
(1) When a person logs into their system at the beginning of the day the system would look to see if they arrived on time. If the person did not arrive on time the system would... more »

Intraoffice Competition to Save on Supplies and Resources

I think all government agencies and offices should institute an incentive program for all working units and teams to save on office supplies, paper, electricity, and other resources. Purchase orders for everything from copy paper and printer cartridges to paperclips and sticky notes should be tracked and accounted for on a per unit basis not as a general pool, which only encourages overconsumption and conceals waste.... more »

Reduce Toner Consumption Using Typography

A great deal of money is lost to print jobs in government offices. My suggestion is to design or make available a typeface that requires less toner per letter. It could be the new official font of the government or government agencies. The two federal agencies I have worked for use Arial as the official font for memos and other correspondence. It would be possible to reduce toner usage by using a lighter weight font... more »

Virtualized inventory

Allow (or require) an organization's local inventory of certain types of items to be registered in an online inventory system. Best to use an example here. If you have a bin of 200 of 30-ohm resistors, you would list them online (this could be easily automated so it takes little effort of thinking). If I need a 30-ohm resistor, instead of buying a minimum of 50 of them from a vendor, I can check the "virtual inventory".... more »
